ONSITE ACCESS STAND BUILDERS AND STAND HOLDERS

Please read the below instructions carefully:

Access badges Exhibit BEFORE Saturday 6 July, before 13:00

Stand builders and stand holders can only access the exhibit halls 10, 11 and 12 with a valid RAI build-up badge which you should order.

  • Before Thursday 4 July (so before the start of the build-up days):
    o We strongly advise your stand builders to pre-register their staff, and for you to pre- register your company staff in the RAI's webshop to avoid waiting times onsite
    o You can pre-register at Event Information (rai.nl)

  • Onsite:
    o Stand builders and stand holders without a valid RAI build-up badge should go to the RAI’s Scan and Go machine located at Parking 4. At Parking 4, they should take the elevator one level up

Access badges Exhibit Saturday 6 July, AFTER 13:00 till the end of the congress

  • Exhibitors can pick up their ESHRE exhibitor badges as of Saturday 6 July after 13:00. Your exhibitor badges can be picked up at the registration kiosks in the registration area (accessible through main entrance C)

  • You can find the opening times of the Registration desk and kiosks here

  • Exhibitors wearing an ESHRE exhibitor badge with an orange stripe can access the exhibit halls during build-up, during the congress days outside opening hours, and during breakdown

  • Stand builders wearing a RAI build-up badge can access the exhibit halls from Thursday, 4 July until Sunday, 7 July 17:00, and during breakdown on 10 and 11 July

BOOTH WALKTHROUGHS

Some of you are conducting booth walkthroughs for your staff, once your booth set-up is complete. Below you can find instructions in case you would like to hold a booth walkthrough:

  • We recommend that you hold a booth walkthrough between 16:00 and 17:00 on Sunday, 7 July at the latest

  • It's also possible to have your booth walkthrough after 17:00 on Sunday, 7 July. However, please note that starting from 17:00 on Sunday, the RAI will start cleaning all exhibit halls and removing all carpet plastic. So there will be some noise around you during this time

  • Those already in the exhibit halls before 17:00 on Sunday can stay until 20:00, which is when the opening reception starts at exhibit halls 10, 11 and 12

  • Other company staff can access the exhibit halls before or after 17:00 on Sunday, or the days before, if their badges carry the name 'EXHIBIT' and an orange stripe

  • Individuals registered in your exhibit group will have access to the exhibition outside opening hours and will have an orange stripe on their badges

  • For the individuals who are part of a separate (non-exhibit) group registration, we will need to manually add access to the exhibition in our system if they want to be part of the booth walkthrough. If that's the case, then please let us know

OFFICIAL OPENING EXHIBIT ON SUNDAY 7 JULY AT 20:00

The Welcome Reception in the exhibit halls 10, 11 and 12 on Sunday, 7 July, at 20:00 will mark the official opening of the exhibition. The Welcome Reception will end at 22:00.

So, make sure your staff is ready at your booth for the Welcome Reception on Sunday, 7 July, at 20:00 as a lot of delegates will already be visiting the exhibition.
