EuMAR Pilot Study – FAQ


The aim of the EuMAR pilot study is to test the practical implementation of the EuMAR registry, to determine the feasibility of collecting prospective and cumulative cycle-by-cycle data on MAR treatments from different countries in a common European registry, including the possibility to link treatments of patients in different centres or countries.
The confirmed pilot countries are Germany, Slovenia, and Portugal.
The pilot study started on 1 July 2024 and includes all cycles that are initiated from that date until 31 December 2024.

From 1 January to 30 September 2025, follow-up data will be collected for all registered cycles until one of the defined cycle endpoints (cancellation of the cycle, OPU with no oocytes retrieved, IVF/ICSI with no surviving embryos, cryopreservation of all oocytes/embryos, IUI/embryo transfer with no clinical pregnancy, pregnancy loss, delivery).
All patients initiating a new cycle between 1 July until 31 December 2024. Treatment includes: an IUI, OPU, IVF/ICSI or embryo transfer, independent of whether the gametes or embryos used have been retrieved or created before the 1 July. If patients seek MAR treatment as a couple, both partners will receive an IRCC, independent of their biological involvement.

The EuMAR registry will include individuals having an oocyte pick-up (OPU) for the purpose of donation. There will be no link between oocyte donor and recipient cycles in the registry. However, no data will be collected from sperm banks, meaning that sperm donors will not be included at this stage of the project.

Participants of the pilot study can log into the EuMAR registry to submit cycle-by-cycle data and/or request patient codes (IRCCs), entering the link provided below. This is the definitive link to use throughout the whole pilot study.

The IRCC is a unique patient code assigned to each patient allowing to link all their treatments and facilitate the calculation of cumulative live birth rates.

All patients starting a new treatment between 1 July and 31 December 2024 should receive an IRCC. When treating couples, the partner should also receive an IRCC.

The method to request IRCCs differs slightly from country to country, as different systems are being tested during the pilot study.

  • Germany: the request of IRCCs can be made automatic or a button can be clicked to request IRCCs in your current Electronic Medical Record (EMR) system.
  • Portugal: MAR centres can request IRCCs by entering the EuMAR registry and clicking on the button ‘New registration’ on the top right corner.
  • Slovenia: for the MAR centres doing manual data entry, IRCCs can be requested by entering the EuMAR registry and clicking on the button ‘New registration’ on the top right corner. For the MAR centre with an EMR system, IRCCs can be requested automatically or by clicking a button in your own EMR.

For data privacy reasons, the EuMAR registry will never store IRCCs. MAR centres logging into the EuMAR registry to request IRCCs have to store IRCCs elsewhere (i.e., in your own medical record system) as soon as it is created.

The IRCC should not be shared with anyone outside of your own MAR centre.

There is no way to recover an IRCC anymore from the portal after its creation because it is not stored in EuMAR. If you lost an IRCC, you can just request a new one. After receiving the data, we will delete all the empty records that were created and not used because the IRCCs were lost.

Yes, the IRCC is a patient code, unique for all cycles of a patient taking place in the same MAR centre. Each clinic will only request one IRCC per patient/partner.

The initial patient registration (IRCC request) for fresh stimulated cycles should be done at the latest five days after the start of medication.
If for any reason, it was not possible to request a patient’s IRCC at the start of a new treatment (within five days), it is still possible to register the patient later. However, we would ask you to try your best to adhere to the five-day deadline because this way we have a better chance of including any cancelled cycles in the registry.
You cannot delete an IRCC once it has been created. If you have created IRCCs by mistake, you can disregard them and create new ones. Save the correct IRCCs with your records, together with the data to be sent. Requested IRCCs that are ‘empty’ (not linked to any data) or that are requested outside of the designed pilot study timeframe will not be included in our data analysis.
No. Any employee appointed by a MAR centre can carry out this task.

The ClinicSwitch code is a QR code (made up of a long code of letters and numbers). Its objective is to ensure cumulative registration of data for inter-institutional and cross-border treatments. The ClinicSwitch code should be taken by the patient from the first MAR centre into the new MAR centre. Each patient and partner should receive a ClinicSwitch code when requested.

A MAR centre will request the ClinicSwitch code when a patient asks for it. Patients should be informed of the existence of the ClinicSwitch code by healthcare staff.

Due to the short duration of the pilot study, the ClinicSwitch code will likely not be used often. If used, it will only work for changes between MAR centres within the country in Portugal and Slovenia (or for any rare cases of cross-border treatment between these two countries).

Clinics in Germany and the clinic in Slovenia using an EMR will not test the ClinicSwitch code during the pilot study.

MAR centres in Portugal and MAR centres doing manual data entry in Slovenia can request a ClinicSwitch code from the EuMAR portal by clicking on the arrows sign in the patient’s record. You will be able to download a pdf file with the QR code that should be shared with the patient.
Any patient who already has an IRCC (i.e., who started a new treatment as of 1 July 2024).
If a patient presents a ClinicSwitch code, you can scan the QR code using a barcode scanner or a mobile phone. You can also copy and paste the ClinicSwitch code into the EuMAR portal.
Scanning the ClinicSwitch code will create a new IRCC for the new MAR centre, continuing the cumulative approach. Scanning this code will not provide any information on the patient or their previous treatments.
No. Each patient and partner will get a different ClinicSwitch code.
No, a different QR code will be created for each partner.
Yes. A ClinicSwitch code can be requested more than once for the same patient. In this case, the first requested code will become invalid.

ESHRE staff working with the EuMAR project can see when data is entered by clinics and national registries. However, IRCCs can never be seen in the EuMAR registry; ESHRE staff do not have access to the IRCCs requested by clinics.
There is no need to retrospectively add data on the fresh cycle that took place before 1 July when entering data on a FET cycle. You can just leave the laboratory data module blank and move straight to the embryo transfer module.
To avoid mistaking patients with the same birthdate, the best way for a clinic to find a patient in the EuMAR registry is by entering the IRCC into the search bar.
