Rules and requirements for certification for clinical embryologists

Please read these rules & requirements in conjunction with ESHRE®’s Online Home Exam Policy and the General Terms and Conditions for Accreditation and Certification.

All applicants must guarantee that they truly fulfil the required criteria for the basic level or advanced level Embryology certification, as stated below in order to be accepted for the exam.

  • The certification programme is available to active ESHRE members only. Be sure your membership is active throughout the whole application process until the publication of the results. Become a member or renew your membership.

    Basic level

  • Hold (at least) a BSc in Natural/Life Sciences.
  • Have at least three years'(*) hands-on experience with human gametes and embryos in a Medically Assisted Reproduction (MAR) lab, at the time of the application deadline.
  • Submit a valid logbook (please see section on the Logbook requirements) showing the required hands-on experience. A minimum of 50 cases/cycles per procedure is required for all nine procedures.

    Advanced level

  • Hold (at least) a MSc, MD or PhD in Natural/Life Sciences.
  • Have at least six years'(*) hands-on experience with human gametes and embryos in a Medically Assisted Reproduction (MAR) lab, at the time of the application deadline.
  • Submit a valid logbook (please see section on the Logbook requirements) showing the required hands-on experience. A minimum of 100 cases/cycles per procedure is required for all nine procedures.

(*) Equivalent of full-time employment

The online application for the 2025 exam will be available from 3 March 2025 (13:00 CET) until 30 April 2025 (13:00 CET), or until the maximum capacity (*) is reached.
Your fully completed electronic application form must be submitted via the application platform by 30 April 2025 (13:00 CET) at the latest.

(*) A total maximum of 420 applicants (⅔ working in Europe - ⅓ working outside of Europe) can be accepted to sit the exam. If the maximum number of applications is reached before the deadline, fully completed electronic applications will be added to the waiting list.

Declined or cancelled applications will be replaced by applications from the waiting list until 15 May 2025. By the end of June 2025 at the latest, all applicants will have been informed whether their application to sit the exam has been accepted or declined.
As soon as the application is accepted, it will be communicated via the application platform only.

The online application process consists of two separate steps:

Step 1: The academic qualification validation process

The Embryology Certification Steering Committee requires independent recognition of applicants' academic qualifications (diplomas/degrees). Only NUFFIC-validated Academic Qualifications will be accepted for the exam; validation should be completed before application to the exam.

  1. Eligibility and NUFFIC Validation
    • All applicants must have their highest Academic Qualification validated by NUFFIC (the Dutch organisation for international cooperation in higher education).

    • NUFFIC applies criteria and procedures aligned with the Lisbon Recognition Convention.
    • Validation will be coordinated by ESHRE.

  2. Following documents are required for upload:
    • Highest academic degree
      Original parchment of academic degree (both sides).

      Official English translation by a certified translator, a notary, or the issuing university/college. If this document is already in English, please upload another copy of the original.

    • Academic transcript
      The transcript is an official document containing your scores and which is issued by the institution or faculty.
    • Additional documents to the MSc
      If the highest academic degree is an MSc, please also provide the BSc academic degree, BSc official translation and BSc academic transcript.

      Note: Some master’s courses do not fit the criteria of official national university degree, therefore, not all master’s courses will be validated as such by NUFFIC. For example, a Spanish so-called “título propio”, although possibly accepted by employers to represent a certain level of competency, is not recognised as an official master’s degree according to Spanish regulations.

    • Additional documents to the PhD
      If the highest academic degree is a PhD, please also provide the underlying MSc/BSc academic degree(s), MSc/BSc official translation(s) and MSc/BSc academic transcript(s) as well.
    • Ensure the name on your ID/passport matches the name on your degree. If not, submit official documents clarifying the name change.
    • Ensure you upload all required documents in one submission, as only one validation round is included in the fee.

  3. Validation fee
    • The academic qualification validation process is available throughout the year via https://aqv.eshre.eu/.

    • After submitting your documents, you will receive a payment link to settle the validation fee of 50 Euro (excl. VAT) which covers one round of validation.

    • Once the fee is paid, ESHRE will forward your request along with all uploaded academic qualification documents to NUFFIC for validation.
      Note: Fees are non-refundable and NUFFIC's conclusions are final and non-negotiable.


  4. Validation result
    • Once validated, the NUFFIC validation report will be available in your personal account. Only a validated degree allows you to proceed to Step 2: The application process.

    • Applicants who previously participated in the Embryology exam (before 2025) and already hold a NUFFIC validation of the correct level, can proceed directly to Step 2.

Step 2: The application process

This part consists of completing and submitting your online application via https://enmcp.eshre.eu/ for the corresponding exam level. After submission of your application, you’ll receive a payment link for the application fee of 150 Euro (excl. VAT).
Only fully completed and correctly submitted applications, for which the exam fee has been received, will be reviewed by the Embryology Certification Steering Committee. As soon as your application is accepted, this will be communicated via the application platform only.

Please note that the paid fee is non-refundable under any circumstances.

All communication regarding the application will be sent via the application platform only, except for the payment links, which will be sent by email. It is the applicants’ responsibility to check their messages on a regular basis to meet the given deadline in case additional information and/or documents are needed. Applications should be completed within the deadline communicated by ESHRE (which can be a maximum of seven calendar days following the date of the message).

If no feedback is received within the given deadline, the application will be declined.

Applicants who are no longer working as clinical embryologists can still apply, provided they worked for at least three or six years according to their intended application and ended their last position no longer than two years before the exam date.

3.1. Required number of clinical cycles:

A valid logbook is required, proving the applicant has performed the minimum number of required cases/cycles for each of these procedures:

3.2. Required number of years of experience:

  • Basic Level: three years of experience in five of the nine procedures.
  • Advanced Level: six years of experience in five of the nine procedures.
  • Experience years must equate to full-time employment.

 

3.3. Formatting Rules:

  • Separate logbooks are needed for each clinic, verified and signed by the respective supervisor.
  • Logbooks must detail the number of treatment cycles and include exact start and end dates (month & year) for each of the nine specified procedures.
  • New applicants must use the provided logbook format; other formats will not be accepted.
  • Returning applicants must update their most recent logbook to the current format; previously accepted logbooks must still meet the latest requirements.

 

3.4. Verification Process:

  • By applying, applicants consent to ESHRE verifying their logbook, CV and application details. Supervisors and references may be contacted.
  • The current supervisor should be a senior MAR professional working at the same laboratory with the ability to guarantee the correctness of the logbook data. This person should preferably be an ESHRE member and an ESHRE certified clinical embryologist. In exceptional circumstances, when the supervisor does not fulfil the mentioned requirements, they can be another ART professional working in the same clinic, provided this person is an ESHRE member and can guarantee that you have actually done what is in your logbook.
  • A “reference” is a professional in the field of reproductive medicine who can vouch for the professional skills of the applicant and who the Embryology Certification Steering Committee (EmCC) can contact in case there is a problem with the application.
  • References should be different from logbook supervisors and at least one reference must be an ESHRE member.

 

3.5. Data Protection, Consent & GDPR Compliance:

  • Supervisors and references must provide informed consent for use of their personal data. Applicants must declare, by ticking the box in the application form, they have obtained consent, with ESHRE reserving the right to request proof.
  • Supervisors and references will be notified that their details appear in the application.
  • Applications can be rejected if supervisors or references do not support them.

 

3.6. Fraud Policy:

  • False or incorrect information will lead to rejection of the application, disqualification from the exam and potential withdrawal of certifications.
  • ESHRE may impose, at its own discretion, adequate sanctions for fraudulent submissions.

 

3.7. Submission Procedure:

  • Logbooks must be completed in the online platform. They must be printed, signed by the applicant as well as the respective supervisors and uploaded in the online platform.
  • Supervisors of the most recent logbook must digitally confirm their signature via a link sent by the online application platform. It’s the applicant’s responsibility to follow up on this confirmation. Applications without this confirmation will be rejected.

4.1. Preparatory courses:

  • The Clinical Embryology Certification Committee does not organise or endorse any preparatory course for the ESHRE Clinical Embryology exam.
  • The curriculum and a suggested reading list are available on the ESHRE website.

5.1. Exam Details:

  • The exam is conducted in English only; no translation aids are permitted (no dictionary, or translate machine/applications are allowed during the exam).
  • It is an online, knowledge-based assessment held annually.
  • The exact timetable of the exams will be published on the ESHRE website (for 2025 it is foreseen on 24 October 2025).

5.2. Technical and Identification Requirements:

  • Candidates must use their own laptops (tablets and smartphones are not allowed); ESHRE is not responsible for technical issues resulting in missed exams.
  • Useful information on what to expect from an online exam provided by ProctorExam can be found on their website: https://proctorexam.com/test-taker-support/.

5.3. Exam Format:

  • The exam comprises two parts, each lasting one hour (total: 100 questions), conducted on the same day with a 10-minute break.
  • The question format is Single Best Answer (SBA). For each question, five potential answers will be provided. All of them can be somehow correct, but participants should identify the one which is considered the “best” suitable answer to the question. Therefore, only one answer can be selected per question.

5.4. Conduct, Compliance and Legal Oversight:

  • Participants must adhere to strict behavioural rules, including silence and no communication during the whole exam.
  • Fraud or inappropriate behaviour (e.g., copying questions, using pen and paper) will result in exam termination, invalidation and possible exclusion from future ESHRE activities.
  • Detected misconduct after the exam may lead to certificate revocation and sanctions.
  • ESHRE may consult legal advisors on matters related to fraud or rule violations.
  • Non-compliance or failure to submit the exam according to the policy will render the exam invalid.

5.5. Exam Policies and Intellectual Property:

  • All participants must accept the online home exam policy before the exam.
  • Exam questions are ESHRE’s intellectual property and cannot be viewed or accessed afterward. Copying or reproducing questions is considered fraud.

5.6. Attempts and Restrictions:

  • Applicants can have three consecutive attempts per exam level. Failing, non-attendance without prior notice or invalidated exams will count as attempts, unless decided otherwise by the Embryology Certification Steering Committee.
  • Switching exam levels after submitting your application is only allowed in exceptional cases.

5.7. Communication:

  •  Relevant instructions will be provided at least one month before the exam date.


5.8. Participant Agreement:

  • Acceptance of the online home exam policy and adherence to all stated rules are mandatory.
  • Funds, including application fees, are non-refundable.

  • The exam results will be released to the participant through the online ESHRE ENMCP platform. The pass mark is the minimum score that is required for a participant to pass the exam.
  • For calculation of the pass mark, standardised objective methods will be used. The resulting outcome is non-negotiable. Applicants may notify ESHRE of complaints regarding the exam results (including invalidation of the exam) in writing to certification@eshre.eu within two months of the date of the notification of the exam results and/or the decision to invalidate the exam. If no complaints have been received by ESHRE® within this period, the applicant shall be deemed to have accepted the results.
  • In exceptional cases, complaints will be reviewed by the Embryology Certification Steering Committee and, if needed, the ESHRE Executive Committee, whose decision is final.
  • The ESHRE Clinical Embryology certificate will become available for download in the ESHRE ENMCP platform for all participants having obtained at least the pass mark score.
  • ESHRE is at all times allowed to consult with its legal advisors with respect to the application of these rules. In any event, if fraud or cheating is suspected, ESHRE will discuss the possible consequences with its legal advisors.
